The questions that come up most, answered the way the software actually works.
Getting in
I have forgotten my password.
Use forgot your password and a link will be sent to the email you sign in with. It works once and lasts an hour. If no mail arrives, check that the address is the one your business registered — we deliberately do not say whether an address has an account, so a typo looks exactly like a success.
Somebody else is using my login.
Change your password from My profile and leave “sign my other devices out” turned on. You can also see and end individual sessions under signed-in devices.
A member of staff has left.
An owner or manager should disable their access under Users. Sessions are held in the database, so access stops on their very next click rather than whenever a token happens to expire.
Stock and cost
Why is my profit lower than the price minus the price I paid?
Cost here is a weighted average across everything you hold, not the price on the last bill. If you bought at ৳620 and later at ৳650, tiles sold afterwards are costed somewhere between the two. It is the honest figure — you genuinely cannot tell which physical box went out of the door.
Freight and unloading — where do they go?
Onto the goods. A purchase can carry freight, labour and other charges, and they are spread across the items so the cost of a tile includes what it took to get it to your godown. That is why a purchase cost can be higher than the supplier’s rate.
Tiles on my showroom wall — are they sold?
No. Move them to the display bucket under Display & Samples. They stop being offered to the next customer but remain yours and remain valued. Only writing one off makes the business poorer.
A box broke in the godown.
Record it as an adjustment with the reason. Breakage destroys value: the stock figure drops and so does what your inventory is worth. That is deliberate — a broken tile is a real loss, not a filing error.
Money
A customer gave me a post-dated cheque. Has the invoice been paid?
Not yet. Register it under Cheques. It does not reduce what they owe and does not add to your bank balance — a cheque is a promise. Clearing it turns it into money; bouncing it puts the debt back.
I moved cash from the bank to the drawer. Is that an expense?
No, and the software will not treat it as one. Use Accounts → Transfer. The business is worth exactly what it was a moment ago. The only part that is an expense is the bank’s charge.
I bought stock. Why is it not in my expenses?
Because it is not one. Money spent on tiles has become inventory; it turns into a cost only when those tiles are sold. Recording purchases as expenses would make your profit look far worse than it is in a month when you restock.
My bank statement does not match my books.
Almost always timing, not error. Open bank reconciliation, tick off what the bank has seen, and check that what is left explains the gap exactly.
Documents and reports
Bangla text is missing from a PDF.
It should not be — the Bangla font is embedded in the document on the server, not borrowed from the reader’s computer. If you see boxes, tell whoever supports your installation: it means the font file did not install, and it is fixable.
Can I get a report into Excel?
Yes. Every report that is ready has an export, and it produces real numbers with live totals — not a picture of a table. Cost columns are left out for roles that are not allowed to see cost.
A report is marked “not built yet”.
Then it genuinely is not, and the card says so rather than opening an empty page. What is listed as ready runs against your live data.
Corrections
I entered an invoice wrongly.
Cancel it rather than editing it. Cancelling restores the stock, the customer’s due, the cash and the profit exactly as they were, and keeps the invoice number so the sequence has no hole. Then enter it again correctly.
Can anything be deleted?
Financial records, no. Everything is reversed by an opposite entry rather than erased, which is what makes the ledgers trustworthy and any dispute answerable months later.
